These payers require paperwork before we can electronically submit claims for you. These forms have very specific instructions that must be followed exactly. All of these forms require the provider’s original signature - faxed copies are not accepted. The completed forms must be mailed either to EPS, or to the payer (depending on the form), and then we must wait for an approval letter from the payer. Please contact us if you have any questions about these forms.

Yes, we are certified HIPAA compliant. The Trading Partner’s Agreement details the HIPAA policies and procedures we follow to protect your private health information as well as the security measures used in our computer systems to ensure privacy.
What about payers that don’t accept electronic claims?
You have options. You can print out claims in the EPS system and mail them to the insurance company, or EPS will print and submit on paper to those payers that don’t accept electronic claims for you at low cost. We put your paper claims through the same edit and review process as the electronic claims. Paper claims are mailed within 24 hours.
Can I expect faster payment sending electronic claims?
Most payers will pay electronic claims within 14 days and some payers will pay within 7 days.
ePayment Questions
How does EPS work with ePayment?
EPS has integrated its system with our partner to provide eCheck and Credit Card Processing in one place.
What type of payment options do you provide in your system?
You can accept credit cards, debit cards and checks.
How does eCheck work?
The practice receives checks for payment by mail or in person. Checks are scanned through a scanner. Check data is confirmed for accuracy and transferred from the scanner into our web based system. Our processing center receives the check data and processes all consumer check items through the ACH. We convert the non consumer items into Image Replacement Documents and deposit them. The check writer’s account is debited and the business account is credited in 48 hours.
Can we resubmit bounced checks?
When you make deposits electronically, you’ll be notified automatically when a check bounces, usually within 2-3 days. You can also re-submit returned checks with a click of your mouse.
Does it work for installment payments for my patient?
Yes. You receive an ACH Authorization agreement from the patient and enter the schedule into the EPS system, and it will send the information automatically to the financial institution when it is due. Also, you can pause or cancel a payment schedule at any time.
Can we accept payment by phone or online?
Yes. You can accept electronic check payments by phone and process them securely on the EPS system. After you process the payment, an email receipt will be sent to the patient automatically.
What is the online payment?
Your patients can pay online when they receive an eStatement from you. They just click the link button and choose the payment type.
Can I process anything other than personal and business checks with EPS?
Yes. Under the Check 21 Act, remote deposit also allows the processing of money orders, travelers checks, cashier’s checks, government checks, warrants and more.
Will my check scanner work to scan anything besides checks?
Most remote deposit systems on the market require an expensive check scanner to process images of checks. However, due to highly advanced EPS technology, you can use your existing scanner if it is a TWAIN-compliant scanner.
Do I have to change banks to use remote deposit and credit card?
No. You don’t need to change banks. The EPS remote deposit system works with any U.S. bank account. When you enroll, just tell us where to deposit the funds.
If I deposit a check remotely and it bounces or turns out to be fraudulent, then what happens? Is there any difference from if I had deposited it at the bank?
There is no difference between remote deposit and deposit at the bank. Banking regulation rules regarding the handling of returned and fraudulent checks are the same, regardless of how the checks are deposited. If a check is returned for insufficient funds, it can simply be resubmitted electronically.
What do I do with a check after I scan it?
You may keep it for 14 days in case of technical problems, then shred it. Images are securely stored on our server and are accessible by you over the Internet 24 hours a day.

Occasionally, a business will be asked to supply additional information in order for us to arrive at a decision. After receipt of any additionally requested information, you will be notified of a decision within one to five additional business days.
